Job Description

Position Overview

The Office Assistant will perform general office duties, including receiving and delivering mail, answering phones, copying and scanning documents, filing, and responding to emails. Will work with other Human Resources staff to complete projects relating to Compensation, Benefits, Training, and Talent Acquisition. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The Office Assistant will report to the Corporate Human Resources Manager.

Position Responsibilities

Teamwork and Collaboration

  • Support Human Resources on various tasks and projects
  • Interact with 3rd party delivery companies (ie: FedEx, UPS) to send and receive packages
  • Provide back-up Reception duties by answering incoming phone calls and directing calls to appropriate employees or departments

Office Administration

  • Sort and distribute incoming mail and prepare outgoing mail
  • Utilize office equipment such as photocopier, printers, and computers for word processing and spreadsheet creation
  • Maintain break area supplies daily
  • Monitor office supply levels and partner with staff to ensure timely replenishment orders
  • Maintain personnel files for active employees so they remain updated and easily accessible
  • Process files for terminated employees on a regular basis, working with our 3rd party file storage partner
  • Demonstrates discretion and judgement of confidential information
  • All other duties as assigned

Job Qualifications


  • Strong written and verbal communication skills
  • Ability to manage multiple tasks, prioritize work, and work in a fast-paced, detail oriented environment
  • Must be able to work independently or part of a team
  • Strong aptitude of problem solving
  • Ability to lift 20 pounds
  • Familiarity with MS Office
  • Reliable and professional with a record of good attendance


  • High school diploma required, Bachelor's degree preferred
  • 1-2 years of experience working in an office environment
  • Familiarity with Google-based office applications
